The National Irrigation Commission Limited, a government organisation operating under the Irrigation Act of 1949 with the mandate to manage existing and future irrigation schemes and systems established by the Government of Jamaica, seeks a suitably qualified individual for the post.
Job Purpose
Under the general direction of the Director of Administration & Human Resources, the Administrative Assistant is responsible to provide confidential and proficient secretarial services and administrative support to the Director’s office.
Key Responsibilities include:
• Coordinates with personnel at the Portfolio Ministry, other Ministries, Departments and Agencies, Internal Directorate and Heads of Sections relating to meetings, reporting requirements and other matters as directed.
• Controls telephone calls and other communication by: taking and sending messages and screening calls; receiving visitors, answering general queries and referring callers to the appropriate officers; and by arranging appointments and meetings.
• Schedules meetings for the Director by: arranging venues; arranging for provision of refreshments where necessary, and any other inputs; and by notifying all participants well in advance.
• Deals with all routine correspondence – incoming and outgoing, and takes follow-up action by: opening and sorting incoming correspondence by affixing the date of arrival; preparing and signing letters in response to routine enquiries; ensuring the efficient and timely preparation, dispatch/delivery of all correspondence from the Director to various ministries, agencies and organisations as requested, as well as timely circulation of circulars and memoranda from the Director to the various departments and sections within the organisation.
• Ensures that proper filing procedures are maintained by establishing and operating a system for classified and unclassified correspondence files.
