JAMAICA BAUXITE INSTITUTE The Jamaica Bauxite Institute seeks to engage a qualified and experienced individual for the following position: OFFICE AND TRANSPORT MANAGER LEVEL 5 ($2,803,771.00 - $3,770,760.00) JOB PURPOSE Under the direction of the Director, Administration and Finance, the Office/Transport Manager is responsible for the management and supervision of the operations and staff of OfficeManagement and Transport Unit. The incumbent provides coordination, management, and control in the areas of Transportation, Office Management, general servicing, repairs, and disposal of the Government’s assets in accordance with the relevant Acts, Policies, Regulations, and Procedures, continually reviews related policies, and procedures for the effective and efficient operation of the Institute. SUMMARY OF DUTIES AND RESPONSIBILITIES:
• Liaises with Customs Broker to ensure that items are cleared and delivered promptly • Ensure that adequate control systems are in place to manage the use of supplies and stationery. • Facilitate arrangements for official luncheons and social functions • Ensure that assets are inventoried, and inventory is up to date • Manages the disposal of unserviceable items • Custodian of all keys for office furniture, buildings and fleet vehicles and offices • Ensures the revision of the Emergency and Disaster Management Plan for JBI • Oversees the daily office operations to ensure cleanliness, efficiency and productivity. • Liaises with Janitorial Company to ensure that services are executed within the stipulations of the contract. • Plans, organizes, and manages the transport fleet to ensure timely and safe transportation services. • Develop and implements strategies to improve transport efficiency and reduce costs. • Ensures compliance with transport regulations and JBI’s policies. • Monitors vehicle use and maintenance and ensure all vehicles are in good working condition. ▪ Ensures certification of fleet drivers in accordance with GOJ guidelines ▪ Liaises with insurance brokers to ensure that accident claims are settled in a timely manner ▪ Monitors Usage of toll Account ▪ Assists with the safety and security of buildings and grounds ▪ Ensures the maintenance of office furniture and fixtures ▪ Ensures the execution of emergency drills and other safety procedures as stipulated in the Emergency and Disaster plan for the Institute ▪ Ensure efficient management and maintenance of internal telephone service and CUG
